UltraNet Services / Ultra Tech - Backup/Restore Policy

1.0 Policy

It is the policy of Ultra Tech to define the policies and procedures governing the backup and restoration of data and system files used on the Ultra Tech Wide Area Network (WAN).

2.0 Scope

The scope of the policies & procedures in this document includes all components of the Ultra Tech WAN and any stand alone networks or computers under the control of Ultra Tech whether or not they are connected to the WAN. Exceptions to the policies will be noted in the body of the policies.

3.0 Guidelines

3.1 User and NETOPS Responsibilities

The Network Operations (NETOPS) is responsible for the creation and maintenance of this document as well as the education of users as to their responsibilities as outlined in this document. The responsibilities regarding the backup of data and system files can be broken into two categories: workstations and servers.

  • Workstations:
    1. Users' responsibilities include the day to day backup and restoration of data files located on their computer's local hard-disk(s). The backup files may be stored on floppy disk, Zip Disk, Jaz Disk or any other media readily accessible to the user that is supported by his/her computer. The users also have the added responsibility of storing all their data files & folders in the My Documents folder located on their computer's C: drive.
    2. NETOPS responsibilities include training the users in the skills required to fulfill their own responsibilities regarding workstations. NETOPS also carries the added responsibility of backing up and restoring data files & folders found in the user's My Documents folder in order to ensure no data loss anytime maintenance is performed on a user's workstation.
  • Servers:
    1. Users have no responsibilities regarding the backup and restoration of servers except the notification of NETOPS when the restoration of a file(s) is required. However, users are encouraged to store data files & folders on the network using the H: and S: drives. These server drives are backed nightly.
    2. NETOPS responsibilities include all aspects of backing up and restoring both system and data files, including DELTEK files, located on all servers on a daily basis whether connected to the WAN or not, unless this policy specifies otherwise. These responsibilities include:
      • Installation and Maintenance of Backup Software & Hardware
      • Creation & Maintenance of Backup Jobs
      • Purchasing & Labeling Backup Media
      • Changing Backup Media
      • On-Site & Off-Site Storage of Media
      • Testing


3.2 NETOPS Staff Positions & Tasks

A successful backup system will require the assignment of both a Backup System Administrator and Backup System Technician.

  1. Backup System Administrator - The person assigned to this position, usually the Network Administrator, will design, test, implement, and document all aspects of the backup system and train/assist the technician. This person must also fix any problems that arise which the technician cannot resolve, create backup/restore jobs, and recommend system upgrades to engineering or management when necessary.
  2. Backup System Technician - the person assigned to this position will perform the day to day maintenance of the backup system including, but not limited to; monitoring the backup jobs to make sure they run properly, changing backup tapes, placing backup tapes in the proper media pools, and informing the Backup System Administrator of any problems that require his/her attention.

3.3 Backup Methodology

The backup method used for all Ultra Tech backup systems will be the Grandfather method. This method is one of the most commonly used, it facilitates easy administration while allowing quick access to files and folders. A minimum of 20 tapes is required per year per backup server to successfully maintain Grandfather methodology. The first four tapes are used Monday through Thursday for Differential backups; another four tapes are used on Fridays for full backups, except the last Friday of the month. The remaining twelve tapes are used for monthly full backups on the last Friday of each month. The End-of Month backup performed on the last Friday of each month is to be stored off-site. See the "Grandfather Backup Method" diagram shown below for clarification.

3.4 Backup Software & Network Operating Systems (NOS).

The Computer Associates Inc. (CAI) product ArcServeIT 6.5 is the backup software that will be used on the Ultra Tech WAN. Since the primary NOS of the Ultra Tech WAN is Novell NetWare the NetWare version of ArcServIT will be used. However, since Microsoft Windows NT servers are also used on the WAN special Windows NT backup agents will be used. When available, other backup agents must also be used while performing backups (e.g. GroupWise, Lotus Notes, SQL).

3.5 Backup System Description.

The main production server on each Ultra Tech network segment or at each location will also act as backup servers. The servers should be at least a Pentium III with 512 MBs of RAM and include a DLT 7000 tape drive. All network segments and locations must be connected using WAN technologies.

3.6 Backup Tape Storage & Transportation.

Tapes are to be stored in locked fire proof safes at the locations specified in the following table.

When tapes are transported between locations they must be carried in a weatherproof and magnetic field resistant container. The tapes should not be placed in direct sunlight for long periods of time or left in a parked car. The tapes must also never be placed in a vehicle directly over the transmission, near the engine, or near speakers.

4.0 Procedures

4.1 Recurring Tasks

The following list contains recurring tasks that must be performed.

  • Daily - Check the status of the previous night's backup job.
    Change the daily backup tapes.
  • Weekly - Change the backup tape using the appropriate weekly tape.
  • Monthly - Change the monthly backup tapes (Insert new blank media)
    Move monthly tapes to off-site storage.
    Clean Tape Drives
  • Quarterly - Check the CAI, Novell, & Microsoft Web-Sites for software patches.
  • Semiannually - Evaluate current software and compare to upgrades or other products available at that time.
  • Annually - Purchase all the tapes required for the year.
    Replace the Daily tapes with new ones.
    Replace the Weekly tapes with new ones.

4.2 Backup Tape Changing Schedule

  • Everyday (Monday - Thursday)…
    • Change the daily tape
  • On the 1st Friday of the Month…
    • Change the tape to "1st Friday"
  • On the 2nd Friday of the Month…
    • Change the tape to "2nd Friday"
  • On the 3rd Friday of the Month…
    • Change the tape to "3rd Friday"
  • On the 4th Friday of the Month…
    • Change the tape to "4th Friday" or "EOM"
    • Note: If there are only 4 Fridays in the month then change to EOM
  • On the 5th Friday of the Month…
    • Change the tape to "EOM"
  • During the first week of the Month…
    • Move Woodbridge EOM tape to Skyline
    • Move Skyline EOM tape to Woodbridge
